Privacy Policy

This Privacy Policy explains how Kaduna Quantum Innovations Hub (“we”, “us”, “the school”) collects, uses, shares and protects personal information in connection with our school management system and our official communications, including messages sent to parents and guardians over WhatsApp and marketing content published to our official Facebook and Instagram pages.

Who this applies to

It applies to parents, guardians, prospective families (enquiries and leads), students and staff whose information we hold, and to anyone who contacts us through our website or social media pages.

Information we collect

• Contact details — names, phone numbers, email addresses and postal addresses of parents, guardians and prospective families.
• Student records — enrolment, attendance, results, fees and related academic information, provided by families and staff.
• Enquiry information — details submitted through our website enquiry form or admissions chatbot (for example child’s name, intended class, and your question).
• Message delivery data — when we send a WhatsApp template message, our messaging provider (Meta) returns delivery and read receipts, which we store to know whether a message reached you.
• Website usage — the pages you open on our website and portals, how you arrived (for example a WhatsApp or Google link), your device and browser type, and an approximate location (country, and town and state only if you choose to share them). We use no advertising cookies and do not store your IP address. If you are signed in, these page visits are linked to your account so our team can support your learning and improve our courses; if you are not signed in, your visit stays anonymous.
• Referrals and enquiries — if you open a friend's referral link, a small cookie remembers their code for 30 days so they can be credited if you sign up or apply. If you ask us to contact you, we keep your name, WhatsApp number and what you asked about so our team can reply.
• Content we publish — text and images for posts made to our own Facebook Page and Instagram account. We do not collect information about other users from those platforms.

How we use it

• To run the school: enrolment, attendance, assessment, reporting and fee collection.
• To communicate with you: term notices, class activity updates, fee reminders and responses to enquiries, by in-app notification, email and WhatsApp.
• For admissions and marketing: to follow up with prospective families and to publish school news and campaigns to our official social media pages.
• To understand how our website and courses are used - which pages help, where visitors come from - and to follow up with learners who may need support.
• To keep records secure, prevent misuse, and meet legal and regulatory obligations.

We do not sell personal information, and we do not use it for advertising targeting.

WhatsApp messages

Business-initiated WhatsApp messages are sent using pre-approved message templates through the WhatsApp Business Platform (Meta). We only message numbers that families have provided to the school. You can opt out of WhatsApp messages at any time by replying “STOP” or by contacting info@kadquantumhub.ng. Meta processes these messages under its own terms and privacy policy.

Facebook and Instagram publishing

We use Meta’s Graph API only to publish content to pages and accounts that the school owns and controls. The access token used for this is stored encrypted and is not shared. We do not read private messages, follower lists or other users’ data through this integration.

Sharing

We share personal information only with: Meta Platforms (to deliver WhatsApp messages and publish our own social posts); service providers who host or maintain our systems under confidentiality obligations; and public authorities where the law requires it.

Retention

We keep student and family records for as long as a child is enrolled and for the period afterwards required by education regulations and sound record-keeping. Enquiry and message-delivery data is kept only as long as needed for follow-up and audit, then deleted or anonymised. Website usage records are deleted automatically after 400 days.

Security

Access is role-based and limited to authorised staff. Integration secrets (such as messaging tokens) are encrypted at rest. Data is transmitted over secure connections.

Your rights

You may ask us to access, correct, or delete the personal information we hold about you or your child, and you may withdraw consent for optional communications. See our Data Deletion instructions for how to make a deletion request. We respond within 30 days.

Children

Information about students is provided and managed by their parents, guardians and the school. We do not knowingly collect information directly from children without a parent’s or guardian’s involvement.

Changes

We may update this policy from time to time. The “last updated” date at the top shows when it last changed.
